Privacy Policy

Effective November 3, 2026

My Books Done Quickly (“we”, “us”) is bookkeeping software at mybooksdoneslowly.com. This policy explains what we collect when you use it, why, and the choices you have. We keep it short on purpose; if anything is unclear, ask us at hello@mybooksdoneslowly.com.

What we collect

  • Account details. Your name, email address, and a one-way hash of your password. If you turn on two-factor authentication, an encrypted authenticator secret and hashed recovery codes.
  • Your books. Everything you or your team enter or upload: companies, accounts, transactions, customers, vendors, invoices, bills, receipts, bank statement files, and spreadsheet imports.
  • Bank data. Only if you connect a bank through Plaid: account names, balances, and transactions for the accounts you choose. We never see your online banking password.
  • Activity records. Who changed what and when (the Activity log), sign-in attempts, and technical logs such as IP address, browser type, and error reports, used for security and troubleshooting.
  • Device notifications. If you turn on notifications, the push subscription your browser gives us so we can deliver them.

How we use it

  • To run the service: keep your books, produce reports, send invoices you ask us to send, and notify you about approvals, due bills, and overdue invoices.
  • To keep accounts secure: approvals by an admin, rate-limiting sign-in attempts, two-factor codes, and audit trails.
  • To fix problems: error reports and logs are reviewed when something breaks.
  • To contact you about the service. We do not send marketing email unless you ask for it.

We do not sell your data, and we do not use your financial data to train models or for advertising.

Who else handles your data

We rely on a small number of providers to run the service. Each one processes data only on our instructions.

ProviderPurposeLocation
Vercelapplication hosting, file storage for receipts, and DNSUnited States
Neonthe Postgres database that stores your booksUnited States
Resendtransactional email (approvals, password resets, invoices you send)United States
Plaidbank connections, only if you choose to connect a bankUnited States

Your data is stored in the United States. If you are outside the US, you agree to it being transferred there.

Who can see your books

Access is controlled by the admins of your workspace. Admins decide who is approved, each person’s level (Admin, CPA, Normal, or View only), and which companies they can open. Customer-facing invoice pages are reachable by anyone who has the unguessable link you share.

How long we keep it

We keep your data for as long as your account is active. An admin can delete a company at any time, which removes its books, receipts, and activity. If you ask us to close your workspace, we delete it within 30 days, except for backups, which expire on their own schedule, and records we must keep by law.

Security

All traffic is encrypted in transit. Passwords are hashed, sessions expire, sign-in attempts are rate-limited, receipts are stored privately and served only to signed-in users, and every change to the books is logged. No system is perfectly secure, so please use a strong password and turn on two-factor authentication.

Your choices

  • You can view and correct your account details on the My account page, and export your complete books at any time from Company settings.
  • You can turn notifications off per device, and disconnect a bank connection at any time.
  • You can ask us to delete your account or workspace by emailing hello@mybooksdoneslowly.com.

Cookies

We use one cookie to keep you signed in and a short-lived one during two-factor sign-in. We do not use advertising or cross-site tracking cookies.

Children

The service is for businesses and is not directed at children under 16.

Changes

If this policy changes in a meaningful way, we will update the date above and tell signed-in admins.
